Appointment statuses

As part of the daily operation dealership employees need to set the appropriate appointment statuses.

If iDealer is integrated with the DMS, you dont need to set the statuses manually  

Editing appointment status

Navigate to Appointments section and click the appropriate appointment record to edit.

The easiest way to find the required appointment is simply use global search in the main menu. You can search by name, phone number as well as the VIN of the vehicle in service.

 

The appointment statuses help dealerships and their drivers be more organized and adds the next level of transparency to customers shuttle requests.

Drivers need to understand if the drop off customer has vehicle in service and ready for the ride to work, or if the vehicle is ready, so the customer can be picked up.

Appointment statuses

  • Open. Vehicle is not yet in service center.
  • Vehicle in service. Customer dropped the vehicle in service.
  • Vehicle ready. Service is completed and the car is ready.
  • Completed. Customer has left the dealership in his vehicle.

As part of the daily operation the appointments statuses are set.

Shuttle requests cards have status light up green when the customer is ready for pickup or dropoff.

Driver view

Notice some of the wrench icons are not highlighted green, meaning that the customer is not yet ready to be picked up or dropped off. The driver needs to check with the service advisor to confirm the current status of the appointment and as a result remove or leave the customer request on active route that is about to be started.

Once the route is accepted by the driver, the notification screen will popup if there are some requests that are not yet ready to be picked up or dropped off, so it is easier for the drivers to check with the service advisors.

Drop off shuttle request: the icon will turn green once the appointment status is set to Vehicle in service

Pickup shuttle request: the icon will turn green once the appointment status is set to Vehicle is ready

Daily operation

The the appointment is created by the call center prior to the appointment date, the appointment status is set to Open.

Once the customer arrives to the service center and drops the vehicle off, the status is set to Vehicle in service.

When the customer’s vehicle is ready to be picked up the appointment status is set to Vehicle ready.

At the end of the day set the status to Completed after the customer picks up the vehicle.

If the system is integrated with the DMS, appointments are created automatically and the statuses are set by the system accordingly
